October 2009 - Volume 1, Issue 12

Dear Clients,

Hello I hope you all had a great summer. Sure did seem to fly by this year as it is already cooling off in many areas. This month I would like to talk a little about security.

Would you give your house keys to all of your employees? Perhaps share your credit card information with a few co-workers...no of course not! These things carry high importance to most people and we therefore guard this information stringently. The same should be true for the information that you store in your ProBusinessTools database. Your customers put a certain amount of trust in you and your company when they give you their contact information. You don't want to disappoint them by allowing your security to become lax.

Once you have created your password masterpiece, keep it to yourself. A password is no good unless only the person to whom it belongs knows it. Don't give your Admin password to your staff, create a login specifically for them with their own password and accesses that can be customized using the "Security Roles" function under "Users". This will alleviate the possibility of system changes being made without your knowledge. We also suggest that you change your passwords quarterly, or at least, every six months.

By taking these easy steps, you can lock down, manage, and track your data more effectively and efficiently.

If you have questions, or need assistance with making your software more secure, please don't hesitate to call our Support Department at 1-877-583-3232 x2.
Sincerely,
Diane Anderson

What's New?

Ability to download accounting information for accounting program such as Quickbooks.

We have a QuickBooks Intergration Tool on the Payroll and Invoice search pages under Accounting. This is a new feature we have added to the software from our suggestion board. This is in the Beta stage now until we have a few clients test this function for us. There is only so much testing we are able to do on our end - we need some real world testing to work out any kinks that may be left. If you are interested in Beta testing this feature for us give our support department a call 1-877-583-3232 x2.

If you have any questions concerning these aspects of the software or any other in the software please give our support department a call at 1-877-583-3232 x2 and they will be delighted to assist you or your team.

Suggestions From Our IT Department:

Our IT department has some suggestions for keeping your computer running smoothly:

  1. Defragment your computer monthly at a minimum.
  2. Keep your Anti-Virus software updated weekly at a minimum, if not daily.
  3. Run your virus scan at lease once a week.
  4. Never download files of unknown origin.

Let Windows choose what is best! Set your windows virtual memory to allow windows to select the size of the file needed, in some cases this can greatly improve performance. Follow these easy steps:

  1. Right click on My Computer > Properties > Advanced tab.
  2. Under Performance click Settings.
  3. On the Performance Options menu make sure that the radio button next to Let Windows choose what's best for my computer is selected.
  4. Now click the Advanced tab - Under Virtual Memory click the Change button.
  5. Now click Set then click okay on all of the popup menus to close them out and Reboot your machine.

Your done, it's that easy. If you need any assistance or have any questions concerning how to do this please give our support department a call at 1-877-583-3232 x2 and they will be delighted to assist you or your team.

Thank you for being our customer!

The other day I was looking over the suggestions we have on our board and noticed that a lot of them have no votes. I wanted to remind everyone that after you have submitted a suggestion that you remember to log in and Vote on it. If a suggestion does not get voted on it most likely it will not be considered for becoming a feature in the software. Remember your vote does count - so log in and let us know what you think would be important to implement into the software - don't see anything you like? Submit your own suggestion - just remember to vote on it.

As always we hope that you have found this information helpful. Something you want to see in the next Newsletter? If so please let us know and we will be happy to add it to the next volume
